I've tested hundreds of AI tools. Most are garbage wrapped in good marketing. Here are the ones I actually use and recommend to clients. No affiliate links. No sponsored picks. Just what works.

Every tool below I've either used myself or set up for a client's business. I'm rating them honestly, including the weaknesses, because that's the only way this is useful to you.

01 Writing & Content

These are the tools you'll use most. If you're only going to pay for one AI subscription, it should be in this category.

ChatGPT by OpenAI
Free / $20/mo Pro
Best for: Drafting emails, blog posts, social media captions, brainstorming ideas. It's the Swiss Army knife of AI.
The best all-rounder. Free tier is surprisingly capable, but Pro is worth it if you use it daily. Can sound generic without good prompts. Garbage in, garbage out.
5/5
Claude by Anthropic
$20/mo
Best for: Long-form content, detailed reports, nuanced writing, and deep research analysis.
More natural-sounding than ChatGPT for longer pieces. My go-to when I need something that doesn't read like it was written by a robot. No image generation though.
4/5
Gemini by Google
Free
Best for: Real-time web research, fact-checking, competitive analysis, and Google Workspace integration.
The best research tool because it actually searches the web in real-time. Writing quality is slightly behind ChatGPT and Claude, but you can't beat free.
4/5

02 Design & Visual

You don't need to hire a graphic designer for every social post anymore. These tools have genuinely changed the game.

Canva
Free / $13/mo Pro
Best for: Social media graphics, presentations, video thumbnails, and brand templates.
Not just a design tool anymore. The AI features are genuinely good. Magic Resize, background removal, and AI image generation all work well. Free tier covers most basics.
5/5
Midjourney
$10/mo
Best for: Product mockups, marketing imagery, brand assets, and creative visuals.
The best AI image generation, period. Output quality is stunning. The Discord-based interface has a learning curve, but the results are worth the friction.
4/5

03 Customer Service

Automate the repetitive questions so you can focus on the conversations that actually need you.

Tidio
Free / $29/mo AI
Best for: Small businesses and e-commerce stores that want a chatbot without hiring a developer.
The best chatbot platform for beginners. Integrates with Shopify and WordPress in minutes. Free tier lets you test the waters, AI features at $29/mo are solid for the price.
4/5
Intercom
$74+/seat + $0.99/resolution
Best for: Established businesses with high customer volume that need enterprise-grade support automation.
Enterprise-grade and genuinely powerful, but the pricing will eat you alive if you're a small business. Only worth it if you're handling serious volume. Everyone else: start with Tidio.

04 Productivity & Organisation

These won't make headlines, but they'll quietly save you hours every week.

Notion AI
$10/mo add-on
Best for: Turning messy notes into structured docs, building SOPs, wikis, and managing projects.
If you already use Notion, the AI add-on is a no-brainer. It transforms scattered notes into proper documentation. If you don't use Notion yet, this might be the reason to start.
4/5
Otter.ai
Free (300 min/mo) / $17/mo Pro
Best for: Meeting transcription, automated summaries, and extracting action items from calls.
Meeting transcription that actually works. The free tier covers 300 minutes per month which is plenty for most small businesses. Summaries and action items are surprisingly accurate.
4/5
Zapier / Make
From $9/mo (Make) / $20/mo (Zapier)
Best for: Connecting apps together and automating repetitive workflows without code.
The backbone of business automation. I cover these in detail in the Automation Playbook guide. Make is cheaper, Zapier is easier - either will change your life.
5/5

05 Marketing

AI won't replace your marketing strategy, but it'll make executing it 10x faster.

Flick
$11/mo
Best for: Social media management with AI caption generation and smart hashtag strategy.
Genuinely useful if you post regularly on Instagram or TikTok. The AI captions need editing but give you a solid starting point. Hashtag research alone is worth the subscription.
4/5
Reply.io
From $49/mo
Best for: Cold email outreach with AI-powered personalisation at scale.
If outbound email is part of your strategy, this automates the tedious parts. The AI personalisation is good enough that recipients don't realise it's automated. Not cheap, but pays for itself fast if you close deals via email.
3/5

06 Finance

AI in finance is less flashy but might save you the most money.

QuickBooks AI
Included with QuickBooks
Best for: Auto-categorising expenses, cash flow forecasting, and spotting financial anomalies.
If you already use QuickBooks, you're getting this for free. The auto-categorisation saves hours at tax time and the cash flow forecasting is surprisingly accurate. No extra cost. Just turn it on.
4/5

07 Free Google AI Tools

Most business owners don't know about this. Google is basically giving away AI tools right now.

Grow with Google AI for Small Business
Free
Best for: Free AI training courses, Google Workspace trial, and AI-powered business tools at zero cost.
Google offers free AI training and 3 months of Google Workspace + AI Pro for small businesses through the Grow with Google program. There's no catch. It's a genuine program to get businesses using their ecosystem. Take advantage of it.

What I actually use every day

I get asked this constantly, so here's the honest answer. This is my exact AI stack as of March 2026:

Tool Cost What I use it for
ChatGPT Pro $20/mo Daily driver: emails, brainstorming, quick tasks
Claude Pro $20/mo Long-form content, detailed analysis, client reports
Make $9/mo All my business automations
Canva Pro $13/mo Every graphic, presentation, and thumbnail
Notion $10/mo Project management, notes, client wikis, everything else
Total $72/mo Replaces what would cost $2,000+/mo in employee time
$72 per month. That's it. Five tools that handle content creation, research, design, automation, and project management. I've tried adding more to the stack and always end up coming back to these five. Keep it simple.

Want me to set up and connect these tools for your business?

I'll configure the right AI stack for your specific needs, connect everything together, and show you how to use it. No ongoing contracts.
